The Elizabeth Glaser Pediatric AIDS Foundation (EGPAF) is a non-profit organization whose goal is to “prevent pediatric HIV infection and to eradicate pediatric AIDS through research, advocacy, and prevention and treatment programs.” EGPAF has U.S. offices in Washington, DC and Santa Monica, California, as well as field offices in ten African countries.
In February 2007, MadWolf was selected by EGPAF to conduct a requirements analysis followed by a Commercial Off-the-Shelf (COTS) analysis to identify the best possible solution for enabling EGPAF’s Intranet Portal. Currently, EGPAF’s Intranet portal is based on simple HTML pages that are kept up to date by IT staff. Not allowing all staff members to contribute to the portal prevents EGPAF from taking advantage of the full dynamic and collaborative potential of a modern Intranet. MWT’s requirements analysis established the mission of turning the existing static EGPAF Intranet into a dynamic collaboration environment, allowing all EGPAF staff members from both the US offices and the field offices to contribute information and content to the new portal.
MWT conducted the requested COTS analysis for EGPAF in April 2007 and selected the new Microsoft SharePoint 2007 server as the platform for the new collaborative intranet portal. EGPAF is able to obtain SharePoint at an extremely reasonable cost due to the Microsoft Charity Licensing program that issues licenses at a discount of almost 90%. SharePoint can also generate a low-bandwidth version of the portal, enabling field workers with slow connections to access a text-only version of the portal.
The implementation of the intranet portal will be conducted in two releases. In May 2007, EGPAF selected MWT to implement the first release. The first release will contain a variety of functionality, including Content Publication Workflow with steps for uploading, reviewing, revising, and approving content; a Version Control and Audit Trail feature that keeps a history of all changes to any document; a document library with an element that displays documents uploaded within the last 14 days; a full text search function; an event calendar; announcements; staff contacts; a blog; a Wiki; and discussion forums. The first release will make the intranet portal the center of all daily work for EGPAF staff, serving as the first place to which staff turn to learn about the latest organization news, find the most up-to-date versions of all documents, and converse with each other about problems or issues.
MWT envisions that the second release will include functionality such as job listings, press clips and news promotion, event registration, a travel calendar, content taxonomy, Microsoft InfoPath form workflows, and an email-in function that allows users to email directly into document libraries, discussion groups and event workspaces.
